Refund Policy

Effective Date: March 2026 • Swarozgar Fest 2026 — Apni Subsidy

This Refund Policy applies to all sponsorship payments, exhibition stall bookings, and participation fees paid to Apni Subsidy in connection with Swarozgar Fest 2026 (Event Date: 09 - 10 May 2026, Venue: Rajasthan International Center, Jaipur). Please read this policy carefully before confirming your participation.

1. General Principle

  • All confirmed sponsorship slots and stall bookings represent a commitment from both parties. Due to the exclusive and limited nature of sponsorship packages (only 60 exhibition spaces available), refunds are subject to the conditions described below.

2. Cancellation by the Sponsor / Exhibitor

  • The following refund schedule applies if a sponsor or exhibitor voluntarily cancels their confirmed booking:
  • Cancellation more than 45 days before the event (before 24 March 2026): 75% refund of the total amount paid.
  • Cancellation between 30 to 44 days before the event (25 March - 8 April 2026): 50% refund of the total amount paid.
  • Cancellation between 15 to 29 days before the event (9 April - 23 April 2026): 25% refund of the total amount paid.
  • Cancellation less than 15 days before the event (after 24 April 2026): No refund. The full amount is non-refundable.
  • Note: Processing of refunds, where applicable, will be completed within 10-15 working days from the date of written cancellation confirmation.

3. Non-Refundable Elements

  • Regardless of the cancellation timeline, the following are strictly non-refundable in all circumstances:
  • Costs incurred for custom-printed materials bearing the sponsor's logo (banners, resource kits, certificates, booklets) once production has commenced.
  • Social media content and digital campaign costs where the sponsor's brand has already been promoted.
  • Administrative and processing fees (10% of the package value).

4. Slot Downgrade

  • If a sponsor wishes to downgrade to a lower-tier package (subject to availability), the difference in package value will be credited toward future Apni Subsidy events. Cash refunds for downgrades are not available after the advance payment has been processed.

5. Event Cancellation by the Organiser

  • If Swarozgar Fest 2026 is cancelled entirely by the organiser due to reasons within their control:
  • 100% of all payments received will be refunded to sponsors and exhibitors within 21 working days.

6. Event Postponement

  • If the event is postponed to a new date due to circumstances within or beyond the organiser's control (including government orders, natural disasters, or force majeure events):
  • All confirmed bookings will automatically be transferred to the rescheduled event date.
  • Sponsors who cannot attend the rescheduled date may request a refund within 7 days of the postponement announcement. In such cases, a 50% refund will be issued after deducting costs already incurred (materials, campaigns, etc.).
  • No refund will be provided if the sponsor does not notify the organiser within the 7-day window.

7. Force Majeure

  • In the event of cancellation due to circumstances entirely beyond the organiser's control - including but not limited to natural disasters, epidemics, government-mandated restrictions, or acts of God - the organiser will make reasonable efforts to reschedule the event. Refunds in such cases will be at the organiser's discretion, taking into account non-recoverable costs already incurred.

  • Requests must include: full name, organisation name, sponsorship tier, payment reference, and reason for cancellation. Verbal requests will not be accepted.

9. Non-Attendance

  • If a confirmed sponsor or exhibitor fails to attend the event on 09 - 10 May 2026 without prior written cancellation, no refund will be issued. The organiser will not be responsible for unused stall space, uncollected materials, or missed stage sessions due to non-attendance.
